Managing bookings
Track, confirm, cancel, share and create your bookings: statuses, trip details, planning and CSV export.

Every estimate turned into a booking from your module lands automatically in your account. This page brings together all your trips: you track them, confirm them to your customers, share them with a colleague, or create new ones by hand. Two complementary views are available: the booking list and the planning (calendar).
The booking list
The Bookings section presents all your trips as a table, from the most recent to the oldest. Each row is a booking and displays the following columns:
- # — the booking number.
- Customer — the traveller’s first and last name.
- Vehicle — the booked vehicle.
- Dates and times — the pickup date and time (and the return if it is a return trip).
- Amount — the price of the trip, in the module’s currency (the discounted price is shown if a discount code was used).
- Status — the state of the booking (see below).
- Payment — the state of the payment, or the mention Driver payment.
- Order date — when the booking was placed.
- Actions — the menu of available operations on the booking.
A booking’s statuses
The Status column shows where the trip stands:
- Confirmed — you have validated the booking; your customer has been notified.
- Waiting for confirmation — the booking has just arrived and is awaiting your validation.
- Canceled — the booking has been cancelled.
- Expired — the booking was not confirmed in time and is no longer valid.
The Payment column depends on the payment method chosen in your Settings:
- Driver payment — the customer pays directly on board; no online payment is expected.
- Paid — the online payment has been collected.
- Waiting for payment — the online payment is not yet finalized.
- Payment failure — the online payment failed.
- Payment not finalized — the customer did not complete their payment.
A booking’s details
Click a row (or See details in the actions menu) to open the Booking Details card, organised into tabs:
- Journey — the starting and arrival address, the vehicle, the number of passengers and bags, the trip type (one way or return trip), the dates and times, the travel time, the distance, an optional flight or train number, the order notes, the chosen options, as well as the price (and the discount code used where applicable).
- Customer — the traveller’s contact details: first name, last name, company, email, phone and address.
- Other — the answers to the custom fields of your form, when you have added any.
Confirming or cancelling a booking
A booking that is Waiting for confirmation can be confirmed or cancelled, from the actions menu or directly on its card.
- Confirm booking — validates the trip. Your customer is notified by email. You can attach a message for them (for example, the meeting instructions).
- Cancel booking — cancels the trip. Your customer is also notified by email, and you can attach a message.
Sharing a booking
The Share action opens the Share the booking with a colleague window. Enter the recipient’s email address, add an optional message, then send: your colleague receives the trip details by email. Handy for passing a trip on to a fellow driver or a partner.
Adding a booking manually
Not all your trips necessarily go through the module: a booking taken over the phone can be entered by hand. Click New booking, then fill in the two tabs:
- Journey — the starting and arrival address (assisted address search), the vehicle, the number of passengers and bags, the trip type (One way or Return trip), the dates and times, the travel time, the distance and the price. An Order Notes field is available.
- Customer — the first and last name (required), and if needed the company, email, phone, country and address.
You can also attach an existing customer: start typing their first or last name and select them to pre-fill their contact details.
Editing or deleting a booking
- Edit — a manually created booking can be reopened and edited from its card.
- Delete — permanently removes the booking from your account. You will no longer see it. Unlike a cancellation, deleting does not notify the customer by email.
The planning
The Planning section displays your bookings as a calendar, by week, month or year. Each trip appears with its time, its number of passengers, the customer’s name and the vehicle; return trips are marked with an arrow.
Events are coloured by status for instant reading:
- green — confirmed booking;
- orange — waiting for confirmation;
- red — expired;
- grey — cancelled.
Click an event to open the same details card as in the list. The New booking button is also available from the planning.
Exporting and syncing
- CSV export — from the list, the Reports menu lets you download all your bookings in CSV format, for your accounting or your analyses.
- Google Calendar — connect your account via the Google Calendar button to find your trips in your personal calendar (available on paid plans).
Free plan
The free plan lets you handle 5 bookings per month via the module. Beyond this quota, new bookings remain visible in your list and your planning, but their details are hidden: the customer’s name and the addresses are replaced by the mention Details hidden.
